As part of the preparation for the SN MEN-REM Regional Conference, EBS acted as the comprehensive event manager, supporting the planning, implementation, and documentation of this high-level regional gathering. Working in close collaboration with the GIZ team, EBS served as the main organizer, technical advisor, and on-ground support provider throughout the entire event process.
EBS was honored to deliver full event management and logistical support for this significant occasion. EBS developed the event’s concept design and was responsible for providing all audiovisual (AV) for the main plenary hall as well as four breakout sessions and simultaneous interpretation services in two languages. A hybrid setup was implemented to facilitate the participation of both in-person and remote attendees and speakers.
EBS also managed event registration and assigned a team of trained ushers under the supervision of its expert coordinators to ensure smooth delegate flow and assistance.
Branding was thoughtfully handled by EBS, including the design and production of name tags, lanyards, and a branded registration backdrop. Additional branding elements included pylons, photo booth, directional signs, a digital podium, LED screen content, and animated digital roll-ups. EBS also oversaw the design and printing of the official event booklet and all posters for over six marketplaces.
In line with the Sustainable Development Goals and the conference’s objective of minimizing paper use, EBS used QR codes for promotional materials.
EBS further contributed to the cultural event by designing a proposed itinerary of places to visit for participants, accessible through a QR code. In addition, cultural evening cards featuring entertainment questions were prepared and printed for the participants.
EBS also organized and coordinated transportation for all participants to three planned site visits across various locations inside and outside Cairo. This included securing the necessary permits from the Tourism Police in coordination with hotel security authorities. EBS managed participants’ registration for these visits and arranged hotel-provided lunches. Comprehensive photography and videography coverage were also provided for all site visits.
Moreover, EBS oversaw the video recording and photography of the full event, culminating in the production of a professional highlight video that captured the key moments of the conference and site visits.
Finally, EBS contributed to the selection, design, and distribution of customized giveaways to all attendees, offering a memorable token that reflected the conference’s identity and message.
